07 Event-Coordination Playbook: Run Your Launch Event
This is your end-to-end field guide for hosting your launch event — a ~90-minute, family-friendly arcade event that introduces local parents to the Poki Yoki spill-proof modular cup, with the free game at play.pokiyoki.com as the hook. Bright, playful, premium-but-down-to-earth. You bring the room; we bring the cups. Fill in every {{FIELD}} before you go live.
Kids' brand = extra care. Poki Yoki is a children's drinkware brand — the spill-proof modular cup. Contingency Tips
⚠️ Low turnout. Don't split thin — collapse to 2 teams or run kids-vs-grown-ups. Pull chairs into a tight semicircle so 8 people feel like a party, not an empty room. Lean into a longer free-play stretch and more frequent leaderboard call-outs. Quality of energy beats headcount.
⚠️ Tech fails. If Wi-Fi or the screen dies: switch to the mobile hotspot, then to a single host device passed table-to-table while you narrate scores aloud on a whiteboard/flip-chart leaderboard. Keep an offline fallback game (a quick-fire trivia or a "fastest cup build" round) ready so the room never goes dead. Never let kids watch you debug — hand the room to your Captain for a photo-spot break.
⚠️ Shy room. Start with a no-stakes warm-up round where scores don't count, so first attempts are pressure-free. Use team names instead of individual spotlights. Give the quietest kid a small job (calling "start," holding the trophy). Praise effort and joy out loud, not just the top score.
⚠️ Consent gap. If a kid wants in but has no signed release, they still play fully — you simply keep them out of every frame and seat them off-camera. No form, no face. The Product Steward is the single source of truth on who is cleared; the Content Captain shoots only sticker-tagged kids.
Venue / Setup Mini-Guide
Three zones make or break the room. Build them in this order during your T-60 setup window.

Leaderboard screenProp a phone or tablet showing play.pokiyoki.com where the team tables can see it — eye-line, not behind a pillar. A cheap stand or a leaned-up book works; if the venue happens to have a TV you can mirror to, great, but it is optional. Stay on the strongest Wi-Fi and test a live round before doors.
ZONE 2
Photo spotSet the branded backdrop against a clean wall with even, soft light (avoid backlight from windows). Stage a couple of Poki Yoki cups as props. Light: Shoot toward a window or in soft daylight. Avoid harsh overhead bulbs and never use direct on-phone flash — it flattens the colors and blows out the cup.
Background: Keep it clean. Clear clutter, water bottles, and stray packaging behind the hero cup before you shoot.
Angle: Product close-ups at slightly above eye-level; group shots at the subjects' eye-level for warmth.

🛟 Kids-Safety Escalation Rule — always read first
If a child is hurt, lost, scared, or a stranger/adult is making anyone uncomfortable: a child's safety beats the schedule, the photos, and the game — every time.
Stop & stabilize. Pause the activity. Stay calm and visible.
Reunite. Get the child to their parent/guardian. Never let a child leave with anyone but their known adult.
Escalate. Tell the venue manager + On Brand lead immediately. For injury, medical need, or a missing child, call venue security or 911 — do not wait.
Never: photograph a child in distress, post about an incident, or handle a serious matter alone.
Log it. After everyone is safe, note what happened, when, and who you told.
Photo consent: only feature a child if a parent/guardian has given consent (COPPA). No consent = no face, no post.
